Your privacy matters. This notice explains what personal information we use when you contact us, request a quote or use the website price calculator.

2. Information we may collect

Depending on how you contact us, we may collect your name, email address, telephone number, collection and delivery postcodes or addresses, requested service and timing, and information about the items to be moved. We may keep your messages, quote and booking details, delivery records, invoices, payment status and complaint correspondence. The website does not ask for card details or payment information.

3. How we use information

We use your information to answer quote requests and take steps you ask us to take before a booking, perform an agreed booking, contact you about the service, handle complaints, and keep required business and tax records. We do not use the website to send marketing emails.

Quotes and bookings: necessary to take steps at your request before entering a contract and to perform the contract if you book.
Invoices and legal records: necessary to meet legal obligations, including tax and accounting record-keeping.
Website security, responding to queries and handling disputes: our legitimate interests in operating a secure website and running and defending our business, balanced against your rights.

4. Website form and postcode calculator

The quote form asks for your name, email, collection and delivery postcodes, service, timing and item details. Requests are sent to info@millanotransport.co.uk so we can prepare a quote and respond. If the staff quote-management system is active, request details are also stored there for authorised staff. Messages sent to customers from the staff portal are saved with the quote request; customer replies are received in the company mailbox. Until the website form has been confirmed active, please contact us by phone or email instead of submitting it. Do not enter card details or sensitive personal information in the form.

If you use the price calculator, the postcodes you enter are sent to Postcodes.io to find approximate postcode locations. Approximate route coordinates are then sent to Mapbox Directions API to estimate a driving distance. These services receive the lookup request and technical connection information such as your IP address. The calculator provides an estimate only; route lookups are subject to the providers’ own terms and privacy information.

5. Who may receive information?

We share relevant information with service providers that help run the site and handle email, including 123 Reg for hosting and the company mailbox. Authorised Millano Transports Ltd staff can access quote details to handle enquiries and bookings. Postcodes.io and Mapbox receive the postcode or approximate route information needed for calculator lookups, plus technical connection data. We may share relevant booking details with a delivery or storage partner only where needed to provide a service.

Some service providers may process information outside the UK. Please see their privacy and data protection terms for details of their international processing and transfer arrangements. You can contact us for further information about the safeguards relied on for a particular transfer.

6. How long we keep information

We keep quote enquiries that do not lead to a booking for up to 12 months after our last contact, then delete or anonymise them unless we need them to resolve a dispute or meet a legal obligation. We keep booking, delivery, invoice and related accounting records for the period required by law; VAT and company accounting records are generally kept for at least six years. Complaint or claim records are kept while the matter is open and afterwards only as long as reasonably needed to establish, exercise or defend a legal claim. We review these periods and securely delete information when it is no longer needed.

7. Your data protection rights

You can ask us for a copy of your personal information, ask us to correct it, request deletion or restriction in certain circumstances, and object to processing based on legitimate interests. You may also have a right to receive or transfer certain information where the law provides for it. These rights depend on the circumstances and lawful basis; some records must be kept to meet legal obligations. Contact us using the details above. You may complain to the UK Information Commissioner’s Office (ICO).

8. Cookies and website logs

This website does not currently use analytics or advertising cookies. The web host may keep technical server and security logs, which can include an IP address, request time and pages requested, to operate and secure the service. The site’s calculator makes requests to the external services described above. We will update this notice if analytics, advertising or other tracking tools are added.

9. Automated decisions and updates

We do not use this website information to make decisions about you solely by automated means or to build marketing profiles. We will update this notice if our data handling changes and revise the date above.
